What should a buyer include in an equipment brief for cleaning commercial grills?

Most quotes for line-side cleaning equipment start with the wrong question. They start with "what machine do you sell", and end with a specification that does not fit the shop. A usable specification starts with a shortlist of facts about the workload and the space it has to live in. Collected before the enquiry, those facts let an engineer size the machine, choose the configuration and quote the utilities in one pass. Collected after delivery, they turn into change orders. The checklist below is what a purchasing or maintenance lead should be able to hand over in a single page.

1. What is being cleaned, surface by surface

Name the actual items, not the department. On a machining cell that might mean the machine exterior and guarding, the chip conveyor, the coolant tank lid, fixtures stacked on a trolley, the workbench apron and the floor strip in front of the cell. For each item note the material — painted steel, stainless, aluminium, anodised parts, plastics, gaskets and seals — because the material sets the limits on temperature, pressure and what may be sprayed near an opening.
Note what must be protected as well: electrical cabinets, encoder and camera faces, bearing points, way covers, gas and air connections, open fasteners. Anything that must stay dry is a design constraint on the method, and the supplier needs it before choosing between a dry-steam and a wet-steam working mode.

2. What the soil actually is

"Dirty" is not a specification. Say whether the deposit is cutting fluid film, way oil and grease, grinding swarf packed into a seam, cured adhesive, wax, coolant sludge or a mixture, and say how long it has been there. Fresh fluid wipe differs completely from weeks-old baked-on grease, and that single distinction drives whether the workload needs heat and dwell, a chemical step, or simply extraction and a cloth.
For bonded oil and grease on machine exteriors and fixtures, the shortlist usually lands on steam degreasing equipment. Describe the deposit honestly in the enquiry, including the worst-case corner of the worst machine. A specification built on the average case will be under-powered exactly where the cleaning effort goes.

3. The volume of work and the window it fits into

Give numbers the supplier can size against: how many machines or fixtures per cycle, how many surfaces per item, how often the task recurs, and — critically — how much uninterrupted time is available. Cleaning that has to finish in a 40-minute changeover is a different specification from cleaning done during a weekend shutdown. Also state whether the work is done while the equipment is still positioned in the line, or on items moved to a separate area.
This is the input that decides between a fixed unit serving a defined station and a portable or hand-pushed machine that travels the shop. For work repeated daily at one or two stations, a fixed steam cleaning machine avoids the queue that follows any single shared portable unit across shifts.

4. Utilities and space, measured before the enquiry

  • Electrical supply: available voltage and phase at the intended position, socket rating, cable run length, and whether the position is inside a zone with special requirements.
  • Water: is a tap-water connection available, what the fitting is, and whether the supply needs any treatment. Note the water quality if scale is a known issue in the plant.
  • Drainage and run-off: where the water goes, whether oily run-off must be intercepted, and which local rules apply to that discharge.
  • Floor space and access: the footprint the machine may occupy, door and aisle widths it must pass through, lift or dock limits, and whether it must move between floors.
  • Storage and charging: where the unit parks between tasks, and whether battery-powered working is required by the layout.
Also send the environmental conditions: ambient temperature in an unheated bay, dust and swarf in the air, humidity, and whether the machine will sit near a wash area. These conditions affect cabinet selection, filtration and the maintenance interval.

5. Safety, access and who will run it

State who performs the cleaning — in-house operators, a night contractor, or a third-party crew — and what training and language support the site can absorb. Note PPE already in use, hot-surface and vapour exposure limits on site, permit rules for hot work or wet work, and whether people must walk past the work area while cleaning is in progress. The answer changes wand selection, guarding, signage and the working procedure that comes with the machine.

6. Commercial terms and acceptance

Before asking for a price, fix the acceptance basis: what a trial will clean, how the result is judged, who signs it off, and which spare parts and service response the site depends on. Add delivery date, installation and commissioning support, warranty scope, and whether the site wants documentation in a particular language. If the equipment has to integrate into a line or a cell, say so in the first message — integration changes the quote structure, not just the accessory list.

Turning the sheet into a specification

With those six blocks complete, request customized steam cleaning equipment quotations on identical inputs from each supplier and the comparison becomes honest: same soil, same window, same utilities, same acceptance test. Take published figures such as steam temperature, pressure and tank capacity from the product page for the specific model being quoted and confirm them with the manufacturer, since values differ between models in the same series. Shenzhen PowerDe Automation Precision Equipment handles cleaning equipment alongside automation integration, so the same enquiry can cover a stand-alone cleaning station or a machine wash step built into a production line.
