What documentation should accompany delivery of custom industrial production lines?

A custom production line is not finished when it ships. It is finished when your team can install it, run it, maintain it and get help for it without chasing the vendor for files. Before you sign the purchase order, agree in writing on the documentation package, and treat the missing items as seriously as a missing machine component.

What belongs in the delivery package

For a non-standard line, the paperwork falls into five groups. Check each group against your contract, not against what the vendor usually sends.

  • Design and drawings: general arrangement, foundation and utility requirements (power, compressed air, water, drainage), assembly drawings, and the as-built revision history.
  • Electrical and control: wiring diagrams, panel layouts, terminal schedules, I/O lists, HMI and PLC programs with a note on what is open and what is locked, and alarm definitions.
  • Mechanical and process: bill of materials, wear-part list with supplier and order codes, alignment and lubrication points, process recipe documentation and change rules.
  • Operation and maintenance: start-up and shutdown sequences, daily and weekly checks, troubleshooting tables keyed to alarm codes, recommended spare-parts stock.
  • Acceptance and conformity: the test protocol you agreed on, measured results, factory and site acceptance records, declarations and certificates for the market where the line will run, and shipping and unpacking instructions.

As-built matters more than as-designed. If a sensor, drive or valve was swapped during commissioning and the drawings still show the original part, your maintenance team will troubleshoot the wrong component at 2 a.m. Require a final drawing set that matches the machine standing in your plant, dated and versioned.

Check the documentation at FAT, not after shipment

The cheapest moment to find a gap is the factory acceptance test, while the engineers who built the line are still in the room. Bring the list above, walk the machine with it, and record what is missing on the acceptance sheet itself. A vendor who must sign that sheet will close the gaps before crating.

  • Run one real product through, with your own cycle-time and quality criteria written down beforehand.
  • Ask for the spare-parts list to be quoted, not just named, so you can compare in-house stocking against vendor pricing.
  • Have an operator from your plant do the shift, guided only by the written procedure. If they need a vendor engineer to explain a step, the procedure is not finished.
  • Confirm language, units and file formats your team can actually use, plus how many copies and in which media.

Where custom lines go wrong

Non-standard automation is built for one buyer's process, so there is no catalogue manual to fall back on. Three gaps appear repeatedly: control source code delivered encrypted with no escrow arrangement, utility requirements stated too late for your contractor to prepare the foundation and supply lines, and a spare-parts list naming generic items that your purchasing team cannot re-order. Each is a contract problem before it is a technical one.

Cleaning and maintenance duties on the line deserve the same treatment. Where the process leaves oil, grease or residue on equipment, industrial steam cleaning equipment is one of the options buyers specify, because it works with high-temperature steam rather than a chemical bath. Specify the utility side in the same package: on the PowerDe HW02 fixed steam cleaning machine page, PowerDe lists 220 V supply, 6 kW heating power and an 80 L SUS304 tank, which is exactly the kind of utility data your plant engineering team needs before the machine arrives. The listed steam temperature and pressure for that model are 160° and 0.8 MPa; for your own line, ask for the figures in writing for the model you order.

Build the document list into the contract

Turn the five groups into an annex to the purchase order, with delivery dates and a retention period for the files. State who keeps the master copies, what happens if the vendor goes out of business or the engineer leaves, and how revisions after acceptance are issued. A single line — payment of the final instalment against a signed, complete document list — changes vendor behaviour more than any amount of email.

If you are sourcing automated production line solutions or non-standard equipment, Shenzhen PowerDe Automation Precision Equipment (PowerDe) covers equipment R&D and manufacturing, system integration, customized configurations and technical support, and publishes its engineering services for product development, hardware testing and manufacturing automation. Ask for a sample document package from a comparable line before you place the order; a vendor who can produce one quickly usually delivers one on time.

Before you sign

Walk the list once with your maintenance lead and once with the person who will place spare-parts orders. Their questions are the fastest way to find the entries that read well but cannot be acted on. Then hold the acceptance test to that list, and the paperwork becomes the part of the delivery that pays for itself.
