A site assessment for food-service equipment cleaning is the document that decides what a supplier designs. If it is thin, the quotation that comes back will be a machine datasheet, not a solution. If it is complete, you can compare two quotes on the same terms and know which one actually fits your plant.
This guide covers what to record during the walk-through, what to leave blank on purpose, and which numbers the supplier still owes you in writing. The examples use the published parameters of our Fixed Steam Cleaning Machine PowerDe HW02 so you can see what a real spec sheet does and does not answer.
Why the assessment is written before the machine is discussed
Ask three people on your site what "clean" means for the outside of a mixer, and you will get three answers. One points at visible residue, one at the seam behind the drive housing, one at the smell that returns two days after cleaning. All three are real problems, and they need different equipment.
The assessment turns those three answers into one agreed scope. It is written by the person who will own the result - a sanitation lead, a plant engineer, a facilities manager - not by the vendor. What you hand over matters more than what you ask for.
Asset inventory: name each unit and its surface
A list of machine types is not an inventory. For every unit you plan to include, record the model, the serial or asset number, the footprint, the frame and cladding material, the finish, and whether seams, hinges, belts or shafts are exposed. Stainless with a brushed finish behaves differently from powder-coated steel and from an older frame whose passivation layer has been worn away by years of aggressive cleaners.
Then mark the access points: where the operator can reach with a tool, where the unit must be moved or tilted to see the back, and where water or steam would enter a bearing, a junction box or a belt drive. A supplier who cannot see this will size the machine for the easy half of the job.
Photograph each unit from the four sides, and photograph the two or three trouble areas close up. Photographs end more arguments than specifications do, and they let a supplier in another country see the same thing you see.
Soil map: what is on the surface, and how long it has been there
"Grease" is not one soil. Animal fat, sugar that has caramelised, oil mist that has settled on a warm housing, flour dust that has absorbed moisture, and protein film each respond differently to heat, pressure and dwell time. Note where each type appears and how often the equipment is cleaned, because a film that is refreshed daily is a different task from one that has been baked on over a quarter.
Record what you use now and where that method stops working. If a manual scrub leaves residue in the seam, write the seam on the map. If a pressure washer leaves a wet floor and a slurry that has to be squeegeed, note that too - a change of method is usually justified by an existing failure, and the assessment is where you capture it.
Site utilities: the list that stops delivery problems
Utilities are where a reasonable purchase becomes a stalled one. For each candidate cleaning position, measure and write down the supply voltage and available circuit capacity, the distance from the panel, the water source and its fitting, the drain location and slope, the floor load, the door and aisle widths on the route from the loading point, and the working temperature of the room.
On the HW02 product page the published figures are 220 V working voltage, 6 kW heating power, an 80 L SUS304 tank, a tap-water inlet with a 4-point internal-tooth (1/2 inch) fitting, and dimensions of 1,200 mm by 800 mm by 1,200 mm including handles. Those numbers tell you exactly what to check at the wall and on the route: whether a 220 V circuit with 6 kW of heater load exists near the position, whether the inlet matches your tap, and whether the machine will pass your door.
What that page does not state is just as important for your form. Steam output per minute, water consumption per hour, how long the machine can run continuously, how long it takes to recover after a tank refill, hose and lance length, cable length, weight, noise and the accessory list are not published. Write them into your assessment as open questions with the supplier's name against each one. A quotation that is missing those answers is not comparable with one that supplies them.
Workflow and access: when cleaning can actually happen
Cleaning in a food plant competes with production for the same hours. Record the window you actually have, who is available in it, and what must be isolated before anyone works on the equipment: power, water, gas, conveyor drive, and adjacent lines that must stay dry.
Also record the wet-floor problem honestly. Steam-based cleaning uses far less water than hosing, which is one reason low-water steam cleaning equipment is often considered for production areas, but the condensate and the loosened soil still have to go somewhere. Drain points, drying time and the traffic route through the area all belong in the assessment.
Safety and documentation to bring to the walk-through
Bring the lockout/tagout rules for each machine, the hot-work and electrical permits your site requires, the PPE standard for high-temperature work, and the current cleaning SOP with its chemical list. If the equipment sits under an exhaust hood or beside combustible dust, say so at the start; those conditions change both the equipment and the method statement.
Ask the supplier which protective functions are fitted and how they are demonstrated at acceptance. The HW02 page lists leakage, short-circuit, high-temperature, high-voltage, water-shortage and high-voltage-explosion protection without a numeric claim attached. Treat that kind of list as a starting point and ask for the test record that shows each function working on the delivered unit.
What the supplier owes you in writing
Before any model is proposed for your site, get written answers to five questions. Is exterior cleaning of your specific equipment covered by the machine's published duty? What surface temperature and dwell time can the machine deliver at the nozzle with the offered accessories? What are the consumption and recovery figures on the form of your water and your supply voltage? What certificates apply in your market and which documents come with the machine? What is excluded from the quotation - accessories, installation, training, spare parts?
Our cleaning range is published on the Cleaning Equipment Series page. For a site where standard models do not fit the window, the utility layout or the equipment, we also offer customization work on steam cleaning equipment through our customized solutions service, including module combinations, mobile platforms and prototype development.
Acceptance: what the walk-through team signs on
Agree the acceptance method before the trial, not after it. Pick three representative units from the inventory, agree who will judge them, and choose checks the team can perform with ordinary means: a white cloth wipe with a photograph kept as evidence, observation of where condensate lands and how long the floor takes to dry, a mirror or phone camera on the blind seams, and a stopwatch for the time the task takes.
Do not put a throughput figure on the acceptance sheet until you have timed it yourself on your own equipment. A machine that clears a baked-on soil slowly on a Friday night window can still be the right purchase; a machine that is fast on a clean panel in a showroom tells you nothing about your seam.
How to use this list
One caution on the machine used as an example. The duty published for the HW02 is vehicle exterior cleaning at fuelling and parking sites, interior vacuuming and engine-compartment work. Cleaning the exterior of food-service equipment is not on that published list, so it belongs on your form as a question the supplier must answer in writing for your assets, your utilities and your acceptance criteria before anything is ordered.
Send us the inventory, the soil map, the utility sheet and the acceptance criteria, and our engineering team will tell you which of those questions we can answer. Start from the contact page.
