What documentation should accompany delivery of industrial product development?

Industrial product development rarely fails at the prototype stage. It fails later, when a design that works in the workshop has to be accepted by a purchasing team, installed by a maintenance crew, and re-ordered in quantity. The difference between a laboratory success and a production order is usually the quality of the documentation that travels with the machine. Below is the paperwork set we prepare for customers who are evaluating custom automation equipment, together with the stage of the program each document belongs to.

Before the machine is built: requirements and drawings

A development program starts with a written specification, not with a quotation. The specification should record cycle time, product dimensions and tolerances, the materials the machine will touch, the utilities available on your floor, the ambient conditions, and the acceptance test you intend to run. Ambiguity here is expensive: two machines can both be "built on time" and still miss your line because nobody wrote down the changeover time or the footprint limit.

Once the specification is agreed, the supplier issues general arrangement drawings and layout plans showing machine footprint, access openings, service clearances, and utility connection points. For a cell that must fit an existing bay, this drawing is what lets your facilities team confirm the door width and floor loading before anyone commits capital. Our engineering group covers product development and integrated engineering team services, so the specification and the drawings are produced by the same people who will build and commission the machine.

During build: component records and inspection reports

For each sub-assembly the file should contain the material certificates for load-bearing and process-contact parts, the heat-treatment and surface-treatment records where they apply, and the dimensional inspection report for critical features. Purchase records for bought-in items — servo drives, PLCs, pumps, heaters, sensors — should name the exact model and manufacturer so that a spare can be sourced years later without dismantling the machine.

If the machine uses steam, hot water, or pressurised circuits, the pressure-related test report belongs in the same package: hydrostatic or tightness test pressure and hold time, the relief-valve setting, and the wiring records for the safety interlocks. For our cleaning equipment series, the published product pages list the electrical and pressure protections fitted to each model, and the delivery file records the same items so that your maintenance team is reading one consistent source rather than a marketing page and a schematic that disagree.

At acceptance: the factory and site test records

Acceptance is only auditable if the test is written down before it runs. The package should include the test procedure with pass criteria, the raw data sheet with your witness signature, and the punch list of deviations you agreed to accept together with the date each item closes. A factory acceptance record that says "cycle time 1.5 pieces per minute, 30 consecutive cycles, measured on your product" is useful; a record that says "tested and passed" is not.

The site record covers what changed after shipping: installation notes, alignment and levelling data, utility connections as actually made, and the re-run of the acceptance test under production conditions. Where a machine's performance depends on consumables, record the settings that produced the accepted result — water temperature, detergent or none, nozzle type, feed rate — so the line does not quietly drift away from the validated configuration.

For the operators and maintainers

Operator-facing documents are the ones most often skimmed at delivery and most often missed later. Deliver a quick-start card in the language actually spoken on the shift, a full operating manual, a fault-code table that maps symptom to cause to action, and a consumables and wear-parts list with expected service intervals. Include the software and HMI backup, the parameter set used at acceptance, and a restoration procedure in case a memory card is replaced.

For a machine that will be cleaned as part of its own maintenance routine, the cleaning instructions are part of the manual, not an appendix. The correct approach is described on our hand-pushed steam cleaning machine pages, which cover high-temperature, high-pressure steam for surfaces that must be cleaned and disinfected without flood water, and on the fixed steam cleaning machine PowerDe HW02 page, where the published parameters include steam temperature, vapour pressure, tank material, and heating power.

For the purchasing and compliance file

Purchasing will want the declaration of conformity or the supplier statement for the machine, the risk assessment reference, the serial-number plate photograph, the warranty terms with what voids them, and the service contact with response commitments. If your own customers audit you, they will ask for these items first.

If you are sourcing a machine that you will brand and sell yourself, the documentation set expands: drawings released under your part numbers, the hardware testing reports, the bill of materials you are allowed to publish, and the packaging and spares policy. Agree who owns the drawings before the first prototype, because renegotiating that after the tooling exists is difficult.

A short checklist to send your supplier

  • Signed specification with acceptance criteria and the test that proves them
  • General arrangement and utility drawings, marked up with as-built changes
  • Material and process certificates for structural and product-contact parts
  • Bought-in component list with exact model and manufacturer for every spare
  • Pressure, tightness, and electrical safety test records with settings and hold times
  • Factory acceptance data sheet, witness signature, and dated punch list
  • Site installation and re-test record with the parameters used at production
  • Operator quick-start in the local language, plus fault-code table and wear-parts list
  • HMI and PLC backup with the accepted parameter set and restore procedure
  • Warranty terms, service contact, and response commitments

Send that list with your enquiry rather than after delivery. A supplier who can produce those records on request has already built the machine once in their own documentation; a supplier who cannot will produce them at your expense, later, and with gaps.
